Inviting Your Crew

How to add people to a trip and what they can do.

If you’re planning a trip with others, invite them to the trip itself. They get access to the itinerary, the checklist, and everything else — without needing to maintain their own copy.

How to invite

On the trip page → Crew & Gear tab → Crew section. There’s an invite form with two fields:

  • Username or email — type the wheeler’s site username, or their email address
  • Send invite button

If you used a username and the wheeler exists, they get an invite. If you used an email and it matches an existing account, same thing. If the email doesn’t match an account, the invite still goes out — the person can sign up and join.

What the invitee sees

Two things:

  1. A notification in their account → Invites tab (or via email, depending on their notification preferences). The notification includes a link to accept or decline.
  2. When they visit the trip URL, they see an “Accept this invite” prompt.

Until they accept, they’re marked as Invited in your Crew section (different visual treatment from joined members).

What a joined crew member can do

  • View the trip in full (read-write)
  • Add and remove stops
  • Reorder the itinerary
  • Add and remove checklist items
  • Self-assign items, or assign to other crew members
  • Add custom links and POIs
  • Edit stop dates, notes, and statuses

The two things they can’t do: invite other people (only the planner can), and delete the trip itself.

The planner

The trip creator is the planner. They have all the same edit permissions as crew members, plus invite management (invite, remove, add placeholders) and trip-level controls (delete, change layout, etc.).

Removing a crew member

In the Crew section, hover any member row and click ×. Confirms before removing. Anything they had assigned becomes unassigned (other crew members can pick those items up).

Declining an invite

Invitees can decline from their Invites tab. The trip’s Crew section then shows them with a declined status (until removed by the planner).
